Following the events of today and consultation with Sport and Physical Activity and University security - the keys are no longer allowed to be left in the now not so usual place.

The committee will discuss over the next few days via email a policy on how the chapel keys will be made accessible for all on a regular basis, whether that be through either myself from my house, or keeping them in a box with 24 hour security at any other times when I'm not here. The new training sessions, which appear to be becoming daily will also be considered.

During holiday periods, the usual system will be employed - kept with somebody who stays in Leeds or with security services.

A proper system will be slapped up here when it is decided.

To re-itterate, the now not so usual place is out of the question.

The reviewed policy on the Chapel keys is now as follows:

General
- The now not so usual place will not be used, at all, ever

- The Captain will be primarily responsible for looking after the keys following the start of next week, and should be your first port of call should you want to get hold of them.

Collecting the keys
- Should you wish to get hold of the keys, you need to call me on 07786 196 720 or e-mail thecaptain@luucc.co.uk

- On occasions, if I am unable to meet you in uni for example, you will have to come to my house. The address is 14 Chestnut Grove, off Chestnut Avenue, Hyde Park, LS6 1BB. Map here. Even if I am not there, Chris M or Andy J could be there so still worth a shot.

- You need to give plenty of notice should you want to collect the keys, preferably 24 hours in advance. If unreasonable, the club and captain reserve the right to withold the keys from you.

- Once you have gained access to the chapel to retrieve stuff, you will normally be asked to give the keys straight back to me, which may involve driving back to my house to drop them off, assuming I'm in. Under no circumstances should people keep the keys all day on unofficial trips. The only occassions when this may be permissable is if you are paddling locally for 2-3 hours (e.g. polo or flatwater training sessions). This will be at the captain's discression.

- The keys should preferably not be under the possession of anyone else apart from the captain for successive days at a time, simply to ensure people only have to ring one person (me) to get hold of them.

Weekends
- If you want to get boats out to go paddling at weekends be that Saturday and/or Sunday, you need to let me know by Friday 8pm

- If I am going paddling myself or not at my house for whatever reason, the keys will be either given to someone staying in Leeds - or you will have to work around, for example, the schedule of club trips (normally leaving at 9am). This should not be too much of an issue, seeing as most people leave for river trips at similar times in the morning anyway.

- Be prepared to have to pick up your boat before you actually set off to the river, and also be prepared to have to store it somewhere else temporarily if required.

- Again under no circumstances should people drive off to (for example) Scarborough or the Tees with the keys in their pocket. They need to be given straight back.

If you have the keys
- You need to remember when you need to drop them off/give them back or pass them on.

- Preferably post on this topic on the forum below, stating the fact you have them and your contact details

- You have a responsibility to make yourself available for anyone who wants to gain access to the chapel - i.e. keep your phone on, be willing to meet people at times that do not necessarily suit you.

Sports Centre List
- As many people are already aware, a spare key to the main door of the chapel (i.e. not the paddle stores) is held at sports centre reception, however only certain members of the club (usually committee members) are able to sign it out with the provision of a student ID card. This list will be refreshed next week and a list of people will be updated on this thread soon.

Contingencies
- This will be the current system (which hasnt really changed too much to be honest, apart from the removal of the usual place). If this becomes too much of a faff, then other avenues will be investigated including using 24 hour security as a resource. Until that time however, security services will not be involved.

- The captain and Gear sec will investigate other contingencies (e.g. spare sets of keys) in the near future, but this should not be at the forefront of your mind when trying to get access to the chapel.

The Chapel as a resource
- Do remember the Chapel is an excellent resource provided by the University and SPA for you the club member, and needs to be respected as such. There is no given right for people to store boats and kit on campus, and many other unis have nowhere near the same kind of provision.
- LUUCC cannot afford to lose this resource due to the negligence of any individual. So please follow the system set up.
- Remember, the canoe club is not the sole user of the chapel - sport and physical activity have a definite interest, quite rightly, to ensure good security of the chapel is maintained.

Final notes
- Lots of other options have been investigated, but this appears to be the best solution
- Although this post seems rather arsey and official, this is not my intention. Not much has really changed when it comes to the chapel keys apart from the removal of the now not so usual place as an option. This is purely a few guidelines to ensure everyone can gain access to their own kit, and no-one is left stuck. Simply remember the fact you need to give some notice before picking up the keys, and the fact you shouldn't be driving off with them, and the fact you shouldnt leave them in silly places and everything will be cushty. :)

The ceilings of the 2 store cupboards of the Chapel will be undergoing repair throughout the day on Thursday 19th March.

To allow the contractors arranged by Estates Services to complete the work, both stores will have to be completely emptied. Estates have said it should only take this one day to complete as its purely a matter of fixing plasterboard.

All the soft kit will be stored at my house, however paddles will be stored in the main area of the chapel throughout the day. Estates have been made fully aware that all items of kit kept here are expensive and their security is important.

If you would prefer to collect your paddles and store them at your house or elsewhere while the work is being carried out, you can collect them preferably at a club event (polo, river trip etc.) or collect the keys from me.
